Pricing

Three transparent tiers. A free 14-day sandbox.

Priced per active BCBA per month, with every price on this page. RBTs, parents and non-clinical staff are included. Create your practice workspace to try the sandbox on synthetic data, with no card required. Real-data launch awaits verified hosting coverage, eligible provider services, clinic BAA acceptance and clinic activation.

Pick the tier by the size of your clinic

Practice is for solo and small practices. Group is for clinics with several BCBAs on one site. Enterprise is for larger organizations and for clinics with more than one location.

Only BCBAs count toward billing. RBTs, parents and non-clinical staff are included. Every tier has the same governed workflow: an agent drafts, a named person approves, and the receipt stays on file.

What the sandbox gives you, and what waits for self-serve activation

Try the work and see your team's day in a sandbox before any real client data is involved.

  1. In the sandbox

A workspace of synthetic clients, authorizations, notes and claims. Open them, change them, break them. Nothing in it is real, so none of it is protected health information.

  2. After you accept the BAA

Use synthetic records until a BAA, hosting and provider coverage, and clinic and workflow activation are verified. Eligible clinics can then import clients and authorizations from CSV. An organization NPI is needed only when you bill, and live claim submission to payers follows a separate readiness approval. A CentralReach export stays an assisted migration.

  3. At day 14

The sandbox is free and takes no card. When the 14 days end, the workspace becomes read-only: you can still review, search and export your records. Choose a plan to add or change records again. Your workspace shows the data retention deadline.

How billing works

Plain terms, so nothing surprises you on the first invoice.

  • Per active BCBA. You pay per active BCBA seat each month across the clinic. RBTs, parents and non-clinical staff are included and never count toward billing. Locations determine whether Enterprise is the right path; they do not multiply BCBA seats.
  • Monthly or annual. Checkout from this page defaults to monthly billing. For annual billing, open the plan chooser in your workspace and select Annual before continuing to checkout. Enterprise contracts can set annual or quarterly terms.
  • Setup. No setup fee on Practice or Group. Enterprise includes a scoped implementation engagement quoted as part of the contract.
  • Your data. Claims, authorizations and session notes can be exported as CSV or PDF, and each export is audited.

Pricing questions

Is there a free trial?
Yes. Create your practice workspace for a free 14-day sandbox on synthetic data with no card required. Keep using synthetic records until hosting coverage, eligible provider services and clinic activation are verified. Clinic BAA acceptance is also required before real client data.
Do I need a card to start?
No. You add a card when you choose a plan.
What happens at day 14?
The workspace becomes read-only. You can still review, search and export your records. Choose a plan to add or change records again. Your workspace shows the data retention deadline.
How much does it cost?
Practice at $89 per active BCBA per month (1–5 BCBAs, up to ~25 active clients); Group at $179 per active BCBA per month (6–25 BCBAs, 50-150 active clients); Enterprise is graduated from $329 per active BCBA per month (26+ BCBAs, 2+ locations). RBTs, parents, and non-clinical staff are included. No setup fee on Practice or Group. Enterprise includes a scoped implementation engagement quoted as part of the contract.
How does per-BCBA pricing work?
You are billed per active BCBA seat each month across the clinic. The estimator turns that clinic-wide BCBA count into a monthly figure. RBTs, parents and non-clinical staff are included and never count toward billing. More than one location is an Enterprise fit, but locations do not multiply BCBA seats.
Monthly or annual billing?
Checkout from this page defaults to monthly billing. For annual billing, open the plan chooser in your workspace and select Annual before continuing to checkout. Enterprise contracts can set annual or quarterly terms.
Which tier fits a solo BCBA, and which a small group?
Practice fits when one clinician still owns most of the clinical, operational and billing follow-up. Group fits when several BCBAs, RBTs and billing staff on one site need shared queues, a Spanish-language family surface and telehealth. Telehealth availability is limited and requires clinic enablement; verify a call on your devices before relying on it. Telehealth calls are not recorded; separately uploaded, consented session recordings follow a different clinician-reviewed workflow. Texas Medicaid is the deepest payer pack in that tier.
Do I need a clearinghouse?
Not to start. ABACare builds and validates the 837P claim file, preserves the approved submission, and tracks Stedi claim delivery and acknowledgments through a controlled dispatch queue. Clinic enrollment, transmission readiness and a biller's approval govern release. Portal submissions can also be recorded with their confirmation and source. Remittance (835) files are uploaded and reconciled. Test and live lanes stay separate; a delivery acknowledgment is distinct from remittance and payment.
Is ABACare only for Texas?
No. ABA clinics outside Texas can create a practice workspace and try the sandbox. Texas Medicaid has the deepest payer-rule pack today. For a payer with no rule pack, ABACare holds the claim for a person to review instead of guessing.
Can I take my data with me?
Yes. Claims, authorizations and session notes can be exported as CSV or PDF, and each export is audited. Exports remain available when a trial ends and the workspace becomes read-only. Your workspace shows the data retention deadline.
